Hooklly is committed to protecting your privacy. This policy explains how we collect, use, and safeguard personal data in accordance with the GDPR.
2. Data we collect
We may collect:
- Identity information: name, email
- Connection data: IP address, browser, operating system
- Email metadata: senders, subjects, dates (not full message content by default as described in our product flows)
- Usage data: interactions with the service and preferences

We use data to:
- Provide and improve the service
- Personalize your experience
- Process payments
- Send important service communications
- Maintain security
4. Email data
Storage: Hooklly may store emails in a secure database so you can view and organize them in the application. Access supports:
- AI-assisted sorting and prioritization
- Metadata extraction needed for ranking (sender, subject, category, relevant content snippets as configured)
- Display within Hooklly
- Automatic deletion after a retention period you configure (unless you choose otherwise)
Your messages also remain with your email provider (Gmail, Outlook, etc.). You can delete data from your account at any time.
5. Sharing
We do not sell your personal data. We may share data only with:
- Service providers (hosting, payments) under strict agreements
- Authorities when legally required

Under the GDPR you may have the right to:
- Access your data
- Rectify inaccurate data
- Erase your data
- Object to certain processing
- Data portability
- Restrict certain processing

7. Security
We apply appropriate technical and organizational measures, including:
- TLS encryption for communications
- Secure OAuth authentication where applicable
- Secured cloud storage (e.g. MongoDB Atlas)
- Limited internal access
- Regular security reviews
7.1. Transfers outside the EEA
Data may be processed outside the European Economic Area (including the United States) for hosting and database operations, with appropriate safeguards such as Standard Contractual Clauses and supplementary measures where required.
8. Retention and deletion
We retain personal data only as long as necessary for the purposes described.
Emails: Subject to your settings, emails may be deleted automatically after a configured retention period. You may also delete data from your account.
Account: If you delete your account, personal data and stored emails are permanently removed within 30 days unless a longer retention is required by law.
9. Cookies
We use cookies that are necessary for the service. You can disable cookies in your browser; some features may not work correctly.
10. Changes
We may update this policy. Updates will be posted on this page with a new “last updated” date.
